As a non-profit making charitable organisation, we aim to keep our fees as low as possible whilst also remaining sustainable. Harbury Pre-School is managed by a committee of parent volunteers who contribute their time thereby reducing overall costs. The membership, who are parents of the children currently attending Pre-School, elect the Committee at an annual general meeting. The Committee is governed by a constitution and assumes overall responsibility for the Pre-School business and charitable funds.
We charge a deposit fee of £50 to secure your child’s place. This will be deducted from your first invoice. If your child does not start with us, the deposit will not be refunded. Parents in receipt of a 2HELP code will not be required to pay a deposit.
Uniform
Uniform can be purchased at a cost of £7.50 for T-shirt, £7.50 for book bag and £14 for sweatshirt.

Payment of Fees
All fees are payable either termly, half-termly or monthly, we also require a month’s notice should you wish to withdraw from any contracted sessions.
We allow additional ad hoc sessions and lunch club attendance if ratios allow and if agreed in advance with the Session Manager. This allows children to meet other children from their normal session and allows parents peace of mind when they have a commitment to attend. These are additional sessions on top of the contracted sessions each term and are payable on a non-funded basis. You will be billed within the month and payment terms are 30 days.
Late Payment Fees
We require payment within 30 days of invoice being sent. A late payment fee of £10 per week will be added if part payment has not been received within 30 days. A letter will be sent to parents directly from the Committee.
Failure to pay by the end of term may result in your child’s Pre-School place being reviewed, and debt recovery procedures will be started.
Early Years Pupil Premium and Disability Access Funding
Additional funding maybe claimed by the setting for EYPP (Early Years Pupil Premium) or DAF (Disability Access Funding) to be spent on enhancing the child’s learning opportunities. This may include resources or training to best support your child’s development. If you think you are eligible for either of these, we will direct you to the section on the funding form.
We have a recommended minimum three session policy for children at Harbury Pre-School as this helps your child to be supported by both their key person and other staff members. This would be preferable over 2 different days so that children are given the opportunity to meet new friends and helps with settling in. We understand that this cannot always be possible, and therefore do ask for a 2 session minimum session.
If eligible, you will be able to use all or part of your child’s Universal 15 hours funding with us. Pre-School will organise Universal funding and you will simply be asked to fill in the Warwickshire County Council parental declaration form to facilitate this. 2 Year Funding is also accepted. We accept children from 2 years 6 months in September and January. Funding will be offered over 38 weeks.
For 2 year working parent entitlement funding you will need to apply online during the term of your child’s 2nd birthday to receive the 15 hours if you are entitled. Please visit Childcare & Early Years Education | Best Start in Life for help in calculating your eligibility regarding 15 hour working parent entitlement and if entitled, how to claim it via the Government’s online digital facility.
For 30 hours funding you will need to apply online during the term of your child’s 3rd birthday to receive the additional 15 hours extended entitlement. Please visit Childcare & Early Years Education | Best Start in Life for help in calculating your eligibility regarding 30 hour working parent entitlement and if entitled, how to claim it via the Government’s online digital facility.
You are eligible to claim either Universal 15 hours or a 30 hours entitlement government funded place from the start of the term after your child’s 3rd birthday. The cut-off dates for the three terms are usually:
31st August – autumn term
31st December – spring term
31st March – summer term
This means that if, for example, your child is born on 1st January, funding will not start until the beginning of the summer term. For you to claim funding, your child must be in attendance prior to the terms headcount date set by Warwickshire County Council
If your child attends another childcare setting you may already be using some or all of your entitlement there, and may not be entitled to funding for all the available funded hours at Pre-School. Full fees apply in this situation or for any other hours after those that are government funded.
Ratios
We at Harbury Pre-School take pride in our team of fully qualified and experienced staff who work in line with legal requirements at adult to child ratios no greater than 1:8 for 3 and 4-year olds, and 1:5 for 2-year olds. We will continue to work on a 1:6 ratio with the whole group as we believe this enables us to deliver the level of care and opportunities required to provide your child with educationally stimulating activities and experiences during every session.
